Terms & Conditions

1. About Us
Reclusion ("we", "us", "our") operates a private gym facility on High Street, Dorking, Surrey. Our website is www.reclusion.co.uk. By creating an account or making a booking you agree to be bound by these Terms & Conditions in full.
2. Eligibility
You must be at least 18 years old to make a booking. By using our service you confirm that you are 18 or over and that all information you provide is accurate and up to date.
3. Bookings
3.1 How Bookings Work
Bookings are made through our website. A booking is only confirmed once payment has been successfully processed and you have received a written confirmation by email. We reserve the right to cancel an unconfirmed booking at any time.
3.2 Booking Window
Sessions may be booked up to 14 days in advance.
3.3 Session Duration
All sessions are 60 minutes in duration. Start times are available in 30-minute increments.
3.4 Booking Types
At checkout you must select one of the following booking types. The type you select cannot be changed after payment is processed.
- Personal — solo use or with a guest
- Trainer — a personal trainer bringing one or more clients
- Content Creator — booking for the purpose of producing content
3.5 Participant Limits
A maximum of 5 participants may use the facility per session. Pricing is multiplied by the number of participants:
- 1–2 people: standard rate
- 3 people: 1.5× standard rate
- 4–5 people: 2× standard rate
3.6 Compliance Before Booking
Before checking out you must have completed your health declaration, emergency contact details, and waiver. Your booking cannot be confirmed without these.
4. Pricing and Payment
4.1 Slot Pricing
Session prices vary by time of day (Peak, Off-Peak, and Quiet). The price applicable to each slot is shown clearly during the booking process.
4.2 Volume Discounts
When multiple sessions are purchased in a single transaction a discount is applied to the basket total. Current discount tiers are shown on our Pricing page.
4.3 Payment Processing
All payments are processed securely through Stripe. We do not store your card details. Payment is taken in full at the time of booking.
5. Cancellations and Refunds
5.1 Cancellation by You
You may cancel a booking up to 12 hours before the session start time and receive a full refund to your original payment method. Cancellations made inside 12 hours of the session start time are non-refundable.
5.2 No-Show Policy
If you do not attend a booked session without cancelling, no refund will be issued. No-shows are recorded on your account.
5.3 Cancellation by Us
We may cancel a booking in exceptional circumstances such as emergency maintenance or a safety concern. If we cancel your booking a full refund will be issued. We are not liable for any further losses arising from our cancellation.
6. Access Codes
A unique access code will be sent to your registered email address and mobile number approximately 30 minutes before your session starts. This code is valid only during the exact window of your booked session. We are not responsible if the code cannot be delivered due to an incorrect email address or phone number on your account.
7. Health and Safety
7.1 Your Responsibility
You confirm that you are in good health and physically capable of participating in gym-based exercise. If you have any medical conditions or concerns you must seek advice from a qualified medical professional before using the facility.
7.2 Health Declaration
You must complete a health declaration (PAR-Q) before your first session. You are responsible for informing us of any material change to your health that may affect your ability to exercise safely.
7.3 Use of Equipment
You are responsible for using all equipment safely and in the manner it was intended. Training alone in a private facility carries inherent risk. If you feel unwell at any point during your session you must stop exercising and seek assistance if needed.
7.4 Emergency Contact
You must provide a valid emergency contact before your first session.
8. Conduct
You agree to:
- Treat the facility and all equipment with care
- Not permit any person to access the facility during your booking who is not named in your booking
- Not use the facility for any unlawful purpose
- Leave the facility in a clean and safe condition after your session
- Report any damage, malfunction, or safety issue to us promptly at hello@reclusion.co.uk
We reserve the right to suspend or terminate your account without refund if you breach these rules.
9. Limitation of Liability
To the fullest extent permitted by applicable law, Reclusion is not liable for:
- Any personal injury sustained during use of the facility unless caused directly by our negligence
- Loss, theft, or damage to your personal property
- Any loss arising from a failure of our booking system, access system, or third-party services
Nothing in these terms excludes liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
10. Intellectual Property
All content on this website — including text, images, brand marks, and design — is owned by or licensed to Reclusion and may not be reproduced or used without our written permission.
11. Privacy
Your personal data is collected and used in accordance with our Privacy Policy, which forms part of these Terms and Conditions.
12. Changes to These Terms
We reserve the right to update these Terms at any time. If we make material changes we will notify registered users by email. Your continued use of our service after updated Terms are published constitutes acceptance of the revised Terms.
13. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
